About the role

The Office Manager is responsible for organizing and coordinating all office operations at Lumi HQ while looking for ways to optimize our office processes. This includes resolving all facilities and maintenance issues and total ownership of all things HQ: organization, office layout, tidiness, conferencing systems, internet, etc You’ll also be responsible for planning and coordinating in office and out of office events for the team and the public. 

What you'll do

  • Design and implement proactive processes to keep the headquarters organized and efficient
  • Act as the main point of contact for general office and employee needs
  • Manage relationships with vendors, service providers, and building management; handling all contract and price negotiations with office vendors and service providers
  • Manage CEO’s scheduling and calendar and provide support with booking travel
  • Manage supplies, snacks, and events budget, ensure accurate and timely reporting
  • Ensure a simple, clean, and organized office environment by keeping the kitchen, bathrooms, conference rooms, and common areas cleaned and stocked
  • Manage general office IT systems (G Suite, Slack, Confluence) provide troubleshooting support, creating new accounts, disabling old accounts, managing mailing lists/ groups, and manage Lumi HQ calendar
  • Manage computer hardware inventory and procurement, responsible for providing office keys and parking gate openers to employees, ensure proper paperwork is completed and documented in our system
  • Purchase and set up desks for new hires and manage office desk layout
  • Organize and execute all office activities and events and collaborate with Head of People to develop and implement employee engagement initiatives
  • Coordinate internal & external meetings, setting up video conferencing, ordering meals, and supporting with travel booking questions
  • Run errands for the office as needed and for event planning

About you

  • Bachelor’s degree with 3+ years of administrative, facilities, or operational experience
  • Ambitious, organized, and high energy with the passion to contribute and take initiative.
  • Anticipates daily challenges before they arise and proactively find solutions.
  • Excellent communication skills (digitally and in-person)
  • Proficiency with Google Apps suite and spreadsheet management
  • Ability to self-manage and problem solve in a fast-paced environment
  • Willingness to go the extra mile to give our staff and customers a great experience 
  • Ability to run errands during the day
